1 Check-In Area SUMMARY In the ECE setting it is the administrator/ director’s responsibility to implement and make sure that all regulations are being followed for the safety of children, families, and all staff. When we welcome children into the facility, we are promising to not only teach children the curriculum that they need to learn, but parents are trusting the daycare to keep them safe and healthy in our care. When regulations are not being followed, not only do the families lose trust, but it puts the program in jeopardy. Licensed childcare programs must meet minimum health and safety requirements to legally operate. When regulations are being followed; this is to ensure that the programs offer a safe and healthy environment for children to learn and grow. Below you will see some scenarios where some regulations are not being followed. Some of these scenarios could combine with some problems that have occurred afterwards. It will explain how administrators / directors can come up with solutions. You will see that it is important to not only care for the families and children, but it is relevant to show the staff that we care as well. Teachers are also learning and growing just as children and facility. Some of the incidents that you see may seem small but can cause a lot of harm. If there is a lack in small situations, then it could expand and will cause a lot of conflict. When you read the scenarios below, you will learn that a director has an obligation and a lot of rules that they need to follow so that they don’t lose their license. A lot of people may think that directors are just fussing too much with the staff, but directors are the protect staff just as much as themselves. Week 2: Check-In Area One: Record Keeping and Parent Communication During the accrediting body’s previous visit, my center was found to have deficiency in record keeping and parent communication. It has been expressed that parents are not being notified with information that contains their child. Some of these things include a 2-year-old that has been diagnosed with pink and did not inform the parents, children’s changing times are not being documented on certain shifts, and materials that children use are not being replaced. These result in deficiencies because it does not ensure the health and safety of each child. It is important that the families trust and are comfortable to leave the child in an ece that should be welcoming and safe. Not only is there lack of communication, but due to a child getting pink
2 Check-In Area eye, the daycare staff may not be regularly keeping the environment clean and making sure that every child is properly taken care of. We must make sure that the environment is clean and the materials and toys that the children are using need to be properly sanitized. It is important to make sure that after every diaper change, infants’ hands are being always cleaned. After children go to the rest room. teachers need to make sure that the older children are washing their hands as well. As an ece administrator, I feel it is important to address these problems with all staff by having a meeting to discuss these matters. At the end of the day, these problems, if not resolved, will fall back to the administrator /director. With There are some solutions that I have in mind. One of these solutions is to create a report sheet that documents a checklist to ensure that all toys are materials are being cleaned with bleach and water every day. This will help to reduce the risk of children getting sick and touching dirty items. These sheets should be turned in at the of they day 5 days out of the week. Another solution to have is when we document diaper changes and feeding. Not only should the teachers be documenting these and the times, but each teacher needs to initial their name each time they make a document. When it comes to communicating with the families, I would inform the staff that it is mandatory that parents are always notified regarding their children. Teachers need to talk with the families and find a good communication method by phone, email, and communicating with the families during pick up and drop off. As the administrator, I would like to ask the staff if they have any suggestions to let the staff understand that they are important as well. The staff members’ opinions should always matter. It is important to be consistent, support the growth, and listen to the teachers to show that you care about them succeeding in their career. Teachers should be able to discuss their concerns, ideas, and may even challenges.

3 Check-In Area Check-In Area 2 Week 3: scheduling It was found that in the infant room, children who attended the daycare were not on the attendance book the days that they came to school. These parents were permitted to bring them in on days as needed. Then, in the two-year-old classroom, teachers were taking breaks during nap time while the students and teachers were not in ratio to do so. Lastly, there was no after-school teacher to show, so the after-school children were sent to the preschool room, but because of this there was one more student than the ratio that was acceptable. These are deficiencies because there should always be a teacher to match the ratio of students. It should also be noted that students should be listed in the schedule book if they are to attend that day. Therefore, with a child attending on the day that is not posted on the attendance book should be fixed. It is important that the director conducts ratio audits and classroom rosters and always analyzes over and under staffing. I would address these concerns as an administrator by setting a set schedule for the staff so that the ratio is always in compliance. If teachers are missing more days than normal, I would address a meeting by talking with the staff on schedule adjustment that is comfortable with each member of staff. This schedule should be flexible for all staff. It is important to talk and discuss with them that you are there to help them. I would also have staff inform the hire management when there is a need to be absent by filling in a sheet that needs to be signed by the director or boss. I would require official documentation, notes of any kind to prevent this. If for any acceptance of absence with a teacher, I would make sure that there is a substitute that can come in when the facility is understaffed. It is important to know that children are to always be supervised and made sure that each child’s health and safety is being ensured. With the attendance, I would set complete communication between myself and the family by informing them to understand and explain the regulations on to why the facility needs to be informed when a child is attending the daycare due to having the staff that is needed to follow all regulations. Though the staff follows regulations, if the family isn’t, it can affect the ratio of students and teachers that are at the daycare. It is important to make sure that both staff and families follow regulations to make sure there is not an imbalance. This protects the facility to stay in compliance with regulations, so that there are no violations. I would not just inform families but have a reasonable explanation to let parents know that we are not here to bash them, but to help them understand that we want all children to have the full experience at the childcare facility.
4 Check-In Area Check-In Area 3( week 5) Safety and Wellness It was found that in the hallways there were no outlet guards installed on some of the outlets. Then, in the 3-year-olds’ room, the latch on the cupboard that contains cleaning supplies was faulty and inoperative. In the 12–18-month room, a child with a fever of 101 degrees was not sent home within a 2-hour time frame. In the infant room, there was a child with a case of head, foot, and mouth disease, but there was no information posted for parents to review to understand the symptoms. Last, in the two-year-olds room, there was a teacher who had not changed gloves between diaper changes. As an ece administrator, I would first like to address the outlet guards. It is our responsibility to make sure that the environment is secure and safe. I would buy guards and would have them immediately installed for the safety of all children. When it comes to the classroom, though it our responsibility to make sure that the environment is safe and secure, it is the staff’s responsibility to ensure that all cabinets, containers, and closets are always locked that will affect the safety and health of children. Teachers should always make sure that these areas are secured and always locked. Being that there are many problems occurring in the facility, I would address these concerns by scheduling a meeting with all staff members due to issues within several age group classes. During the meeting, I will explain these issues and ways that we can improve to make sure that the facility is following all regulations. Starting off with the plug outlets, I would like to address this with the teachers by asking them to be consistent in making sure they are all secured and always guarded. If they see that there is an outlet that isn’t guarded, they should immediately report this to the administration. Next, I would make sure to inform the teachers that all areas that contain hazardous items, chemicals of any kind, or even objects, should be kept out of reach for children to get a hold of. I would then address some regulations that are not being met and remind teachers that each child should have a health check when they come into the daycare. If a child has a 101 fever, the parents should be contacted immediately, and the child should be sent home. This should be documented as well. I would hand out health posters to each teacher to post in the classroom, as well to the parents with health conditions a child may encounter in the facility. It is important to let parents and families understand and prepare themselves by knowing these conditions that can occur. I would also inform teachers to make sure that hygiene is the main priority to prevent illness as much as possible for the safety of children and to help parents feel comfortable when they drop their children off at the daycare. Last, I would explain to staff that there are directions on posters that are posted up by the changing table that remind you of the rules and regulations when you are changing a child. It may be stressful for a teacher to keep the routine going, but these rules are applied to ensure that children are always healthy and safe. I would then let the staff know that we encourage them to learn and grow. If these mistakes are not consistent, it is okay to learn from them and improve. We are here to help staff and let them know that these issues can be resolved if well all work together to improve ourselves and the facility for the sake of all children, family, and ourselves. As an administrator, I would do regular checkups two days out of the week to ensure that changes are being made. It is not only up to the
5 Check-In Area staff to make sure that regulations are being implemented, but it is also up to make sure that they are as well. It is just as much my obligation as it is to theirs.
