There are multiple benefits to using a Human Resource Information System not just for the organization but for the employee and HR as well. First, as you have stated, our organizations have recently merged. This means the number of employees for the organization has grown. Using an HRIS system allows for the use of “different HR functions” (Vulpen, 2024). Using an HRIS system will create “improved record-keeping” (Vulpen, 2024). Instead of relying on paper files to maintain employee data, the HRIS system will keep track of all “personnel data” (Vulpen, 2024) as well as all changes made to that data. The HRIS system will better ensure our organization maintains compliance with “GDPR regulations” (Vulpen, 2024). An HRIS is also more efficient. Having employee data in one place “benefits accuracy and saves time” (Vulpen, 2024), versus searching through paper files and flipping through multiple pages in the files. This goes back to also having the most up-to-date information on the employee, as employees can use the system as well for things such as updating their personal information and requesting time off. These self-service features of an HRIS can lead to an overall better “digital employee experience” (Vulpen, 2024). Therefore, as you see there are many benefits to the use of an HRIS that will better enhance your role as well as possibly enhance the employee’s overall job satisfaction. For further on our organization’s HRIS, our team here in HR has designed a brief online course walking you through the features and specifics of the HRIS our organization uses. It’s self-paced and can be viewed from any

Although we understand you have already attended training, it is important to our team here in HR, as well as company leadership, that regular training be provided for not only our team members, but all levels of management as well, especially when new systems, such as this HRIS are rolled out. “Providing employees with relevant and consistent training can help improve performance and efficiency in the workplace” (Herrity, 2024). As a manager, you will more than likely be the first source our employees reach out to for questions regarding the new HRIS. By completing this training we are providing, you will have the proper education and tools to answer those questions, further cultivating the trust and respect of your individual team members. Also, completing the training will ensure you have a strong working knowledge of how to use the HRIS to “generate customizable reports” (Indeed Editorial Team, 2023). Some of the reports you’ll learn to pull include “training costs, employee productivity, job satisfaction, employee relations, cost per hire, dismissal rates, turnover rates, and time required to fill a position” (Indeed Editorial Team, 2023). These reports will help you as a manager to better see which areas our organization requires improvement and where we as an organization are thriving. Also having access to these reports allows you the ability “analyze and quantify employee data to ensure the company is operating at peak efficiency” (Indeed Editorial Team, 2023). HRIS is also used to streamline HR processes and improve communication between employees and management” (Deutsch, 2023). The HRIS maintains all our organization’s employees’ data in one safe place. Keeping our records in the HRIS also ensures our company’s compliance with all “GDPR regulations” (Vulpen, 2024). HR along with the organization’s leadership can go to this centralized location and use the data for purposes such as “payroll and compensation management” (Deutsch, 2023), where time and attendance can be tracked, benefits can be administered, and salaries can be adjusted. The data can also be used for “recruitment and onboarding” (Deutsch, 2023), where job postings can be managed, and new hire paperwork can be completed and tracked. The data can also be used for “analytics and reporting” (Deutsch, 2023), where leadership and HR can better view employee performance, turnover, and absenteeism. Although there are a few other uses for the data, one last example is for “performance management” (Deutsch, 2023), where management can utilize the data to set goals and track the progress with their employees and conduct “performance evaluations” (Deutsch, 2023). As you can see having an HRIS in place serves our organization a high purpose is of great benefit to all employees, HR, and organization leadership.
