Dear Supervisor Tim,
The team which was to be created to tackle the problem of a lack of communication within
the workplace has been formed and is ready to begin carrying out sessions and activities
aimed at building communication skills within the workplace. The end goal of this project is
to design an effective system which facilitates communication and the free flow of
information between employees. The system is to be designed by Sara and John while James
is primarily responsible for taking feedback from the employees and analysing it to find
changes which can be made to improve the overall effectiveness of the project. Despite
concerns about the level of communication in the workplace, we are confident that this
project will be a success and workplace productivity will be back on track. Please respond to
this email as soon as possible and provide any feedback you may have for how this project
should be carried out.
Yours, Ali (Team Leader)
Dear Ali,
I have looked at your proposed plan for improving the quality of communication in the
workplace. This is a concern which we share and has the potential to significantly damage
performance in the long term. I am intrigued by the idea of a system designed to facilitate the

flow of information from one employee to another. The team which you have assembled for
this project seems to be up to the task and has my approval. Please ensure that the system
you design has a method through which it can identify important information which must be
passed on.
Yours, Supervisor Tim
ASSESSMENT TASK 1.3
Consult Each Team Member
Communication Requirements: Consultations
Organisational Protocols
•
Both team members are required to give constant updates on their progress. They are meant to
give full-length reports at least once every two weeks on the work that they have done in that
time. All efforts should be made to ensure that each team member is aware of the progress of
the others so that they can adjust their own workflow accordingly. By setting an excellent
example for communication, we can get the employees used to the new system.
•
No important decisions should be made without consulting with the direct superiors. While,
having been given this responsibility, we have some degree of independence regarding how the
system will operate, the company executives must be made aware of all changes which have a
direct impact on the overall performance and productivity of the company.

Discussion
Design of communication system
As it is the first meeting, the main topic for discussion is the way in which we would go about designing the new
system for improved communication between employees. During this discussion, we would finalize the basic
principles of the system, the methods we use to ensure that employees continue to communicate effectively, and
other details.
Agenda Item 2 Advice on Addressing Difficulties
Discussion
Discussion of employee feedback
One of the most important aspects of this project, and the one which we must consider, is the feedback we
receive from employees whom we interviewed regarding the issues they face when communicating with their
colleagues and co-workers. By incorporating the feedback taken from employees into the design of the new
system, we can ensure that it will meet their requirements and satisfy all their communication needs.

Agenda Item 1
Team Performance Plan
Discussion
Issues faced by executives
The purpose of this meeting is to discuss some issues which were brought up by the Chief Operations Officer of
the company who pointed out some potential problems with the system we have currently been designing. This
system is meant to award employees for communicating effectively within the workplace, however the COO
pointed out that this could be abused. This meeting was meant to find an alternative method of incentivizing.

Agenda Item 2 Advice on Addressing Difficulties
Discussion
Communication of important details
After taking feedback from employees, we have elected to change our focus in the scope of this project. Rather
than designing a system which improves the overall level of communication, we must design one which
facilitates the flow of specific, useful information from one person to another to boost productivity.

ASSESSMENT TASK 2.3
Develop Processes for Performance Issues, Concerns and Performance Problems
Processes Document
Performance Issues
Process for Identifying
Communication issues which arise because of not sharing vital information can result in significant performance
loss for the company. To get to the root of the issue, we must thoroughly analyse the problems which are faced
by employees in their day-to-day activities and understand how they relate to lack of communication. Only once
these bad habits are identified can they be dealt with
Process for Addressing
An issue such as this, relating to communication, can only be resolved by carrying out large activities and
sessions where employees can see potential mistakes which they may have made and learn how to correct them.
The primary focus here should be on communication of vital and necessary information
Concerns
Process for Identifying
Employees should be interviewed, and their lack of communication should be discussed with them openly to
get to the root of the issue and why they are not proactive about sharing information
Process for Addressing
Once their concern has been understood, we can implement changes in the workplace to facilitate better
communication
Problems
Process for Identifying
The employee’s have not been able to meet
the standards set by their superiors over the last few months,
primarily due to a lack of effective communication skills.
Process for Addressing
The superiors must take a more relaxed approach and put less pressure on the employees. At the same time,
employees communication skills should be refined through exercises and sessions

The learner struggled with some communication techniques and had little understanding of the norms in the
workplace
•
Identify at least one suggestion for improvement
One issue which the learner struggled with was how to share and receive criticisms without taking them
personally. In a team environment, employees ought to be able to share their opinions without fear of
offending others, so this is a significant obstacle which needs to be overcome
•
Other comments or feedback
In the future, such activities may be improved by carrying them out in groups

The learner struggled to identify which data or information was relevant enough to be shared with their co-
workers, something which can lead to miscommunication or lack of coordination
•
Identify at least one suggestion for improvement
A questionnaire or checklist ought to be designed to assist employees with understanding what information
needs to be shared and what does not
•
Other comments or feedback
Due to the importance of knowing which data to share and which not to, the system which is designed to
facilitate communication should take into account the criteria which employees need to be aware of

which were carried out to gauge their skills and gaps in their

For the Team
When it comes to the team, the performance has been very satisfactory as the activities which were carried out
can be considered a success. While there were some minor discrepancies which need to be addressed in order to
continue to succeed in the future, this can be considered a decent milestone for the team when it comes to
developing their own communication skills
For each Team Member
Each of the team members has shown proficiency in different areas. While all of the members performed their
activities in a decent manner, they can all potentially learn from one another and help to fill in each other’s gaps
to create a stronger foundation for success in the future
Agenda Item 2 Encourage Team Members
Discussion
The team members were congratulated on the success of their activities and were
encouraged to continue putting in effort and improving their professional skills
•
The communication skills which were displayed were found to be strong but lacking in some areas and
could use improvement
•
The employees have shown a strong will to improve themselves and their productivity within the
workplace
•
New ways must be found to motivate employees to maintain this mindset and continue improving in
the future

Organisational Protocols
The organizational protocols which are in place at Toyota are meant to protect the employees from harassment
and loss of focus during the work hours. While these measures were put in place to protect employees, they
have resulted in communication in the workplace being negatively impacted. The various stakeholders involved
in this discussion, particularly the company executives, should consider relaxing these protocols in favour of a
more open and freer workplace

Agenda Item 1
Team Requirements
Discussion
Coordination of team
Each member of the team must be clear about the roles they have been assigned and the responsibilities which
come along with that. The division of labour and authority should be very clear amongst the team as this is
required as the foundation for strong communication and cooperation
Agenda Item 2 Overall Team Performance
Discussion
Team
’
s mutual strategies
Due to the very wide scope of this project, they should seek to cooperate with and help one another wherever
possible without ignoring their own responsibilities. Additionally, the team members must not be nervous
about asking for help from one another as the use of their collective experience can greatly improve the quality
of the final product
Agenda Item 3 Issues, Concerns and Problems and Follow-up
Discussion
Trust Building in team
The team members should not be afraid to share any concerns which they may have with the rest of the team.
If they feel that they cannot share it with the whole team, then they should at least confide in the team leader so
that they can plan accordingly. Regular follow-ups should be conducted which discuss the various activities and
tasks carried out by the team members.
