"Each office employs one or more dentists, hygienists, and
receptionists each of whom have an employee number. Patients
are free to use any dental office but, naturally, must make
appointments in advance. A record of all such appointments is
kept which specifies the patient's name, the date and time of
the appointment and a list of services performed. Adult
patients have a SIN (Social Insurance Number) but their
children typically do not. Each office provides specific services
(e.g. cleaning, filling, X-rays, extraction, etc.) to the patients and
bills them accordingly. Performing certain services consumes
supplies (e.g. floss, amalgam, X-ray film, etc.). Such supplies
are purchased from a variety of suppliers each of whom is
identifiable by a unique supplier code. The current amount of
each type of supply available is tracked so that when supplies
run low, a new order may be placed with the appropriate
supplier. Patients are allowed to run accounts but interest is
charged on unpaid balances after 30 days. Certain patients (and
their family members) may be covered by dental plans that pay
for all or a part of specific services they require. The dentists
maintain a list of the providers of these plans so that they may
bill them for reimbursement. For taxation purposes, it is
necessary to track the yearly expenses incurred by each patient
at each office as well as the amount paid under any insurance
plans. For serious cases, the dentists also maintain a list of
specialists in various areas to whom they may refer patients.
The referral process is done first by telephone and then
formally via regular post."
