When new patients come in for the first time, they fill out a
patient information form with their name, address, phone number,
and a brief medical history, which is then saved in the patient
information file. When a patient phones to make a new appointment
or change an existing one, the Medical Berjaya Clinic receptionist
searches through the appointment file for an open slot. The
appointment is scheduled once a suitable time for the patient has
been identified. If the patient is a new patient, the patient file
contains an incomplete entry. When the patient arrives for the
appointment, the complete information will be obtained. A postcard
reminder is routinely mailed by the receptionist to each client.
Because appointments are frequently scheduled months in advance,
the receptionist sends each patient a reminder postcard two weeks
before to his or her appointment.
