Part I: Learn and Relate
Access all the lecture information to answer this section. Describe concepts you learned and relate those concepts to your own work or life experience.
1.
What is data collection and why is it important in the Continuous Improvement Program? When developing improvements, data collecting is crucial since without it, there is no way to verify that there is a problem. Data gathering can also be utilized to construct a picture of the current situation and offer an understanding of existing concerns if a procedure is under question.
2.
Describe a time when you used data. Describe the type of data you have used on a team to make a decision. (It can be a work, family or volunteer group) example. Was there a data collection plan? What type of data was it (qualitative or quantitative or both)? How did you or the team use this information? Note: Copy/Paste your Discussion post for this question.
We typically conduct an inventory count twice a month and gather all the information from ERP and NetSuite
to compare it to what is on hand. Due to the monthly output of around 600 orders, each of which carries a unique quantity and sku, this procedure is entirely based on numbers. As a result, it is crucial that the proper criteria are met when orders are dispatched from the system. Because of this, we make sure that our data matches input and output by checking all the specifics and counting every item we have.
Yes, we have a strategy for gathering data. Running a report from the ERP system is the first stage; the second is making sure that all orders are tagged as dispatched from the system; and the third is entering all return information into the system, where each item is located in the correct BIN. Each team member was in charge of a single process, and whenever that step was over, we began counting
the inventor and comparing the data on the ERP to ensure that the quantities matched. If there was a disparity, we began looking into that specific sku to identify and address the issue.
Part II: Case Study
Read Mojo Coffee House Case Study – Part Three
and put yourself in Kasey’s shoes. Use all of Week 4 Course Material to answer the questions in this section. Enter your answers in the empty cell of each table. The cell will expand as you type. 1.
Describe what Kasey was working to do in this meeting with her team. Was she successful? Why or why not? Kasey, begin applying continuous integration (CI) and employing different approaches, including STP, PDCA, and the four Big Questions, to achieve her objective. I believe she was well-prepared for this meeting
and that every detail was carefully considered to prevent misunderstandings. As a result, it was easy to follow and put her data collection plan into action. 2.
What type of data did Kasey collect from her team? Give one example.
She combined quantitative and qualitative to collect data from her team. 3.
What type of data did Kasey develop? Give one example. She breaks it down into five categories: information need, quantitative, qualitative, type of tool, and who, what, where, and when. Each of these categories contains a specific question and how they need to proceed.

Finish tabulating the data in column 4 (SA). How? Tally all the comments that have to do with “Timely Service”, Quality of Food etc. Determine what *
percent of the total comments are positive and negative
. Answer questions below on the MSD Checklist Part II, letter ”D”.
% comments =
# of positive or negative comments ÷ total # of comments

Positive 8÷31= 26%
Positive
7÷31 = 22%
Negative 18 ÷ 28 = 64%
Negative 6 ÷ 28 = 21%
Negative 0 ÷ 28 = 0%
Negative 3÷31 = 10%
Your Analysis
Your Response
1.
According to the data above, what should Casey’s team work on first?
According to the data, they need to work on their service and staff attitude in order to increase positive comments.
2.
What step in the PDCA/6-Step Problem Solving Process and Sub-
steps is Kasey’s team in (both macro and sub-step- be specific)?
They are still gathering and analyzing data and thinking about various solutions that could deal with the underlying reasons of the issue, thus I believe they are still in the "plan" steps. 3.
What will Kasey’s team do next? (Look at the PDCA/6-Step Problem Solving Process and Sub-steps - be specific)?
They will move on to the next step, which is "DO,” in order to try
the solution to their plan. 4.
BONUS POINT: What advice would you give Kasey for the next part of this CI journey?
Part III - For Your End of Term Project Notes
You will assemble these notes for your final CI PDCA/PSP Team Project. Stay organized. Plan Phase: Analyze Problem & Data Collection. There are three tasks in the section for you to complete. Task 1: Answer the following Questions. 1.
Describe how you covered data collection and analysis with your team.
From all of our observations and sources, we collected information. Adding details to our Spreadsheet sheet,
such as fiction, numbers, and other data After that, we started digging into our data and looking closely at each statistic we came across. 2.
Please describe WHY it is important to define the problem, collect data on it (even if you think you know the answer to the problem) & analyze the data you collected? Why would your manager want this approach?
Planning begins with defining the issue at hand. This is why it's so important, as defining the issue or problem clearly is one approach to do it. Therefore, data collecting is crucial to achieving our goal since it can help businesses improve the standard of their work.In addition, we can make quicker and better decisions because of data analysis, helping us to save money on unproductive tactics. Because of this, our manager would like to tackle this by ensuring that before making a choice, he or she gets reliable information.
Task 2: Collection Data Plan Copy your approved Situation, Target, Proposal below. Review your STP. Think about the issue you have started to define. Determine the metrics, data, and information you will need to analyze the scope of the problem. What data will you need? This process will help you identify questions that need to be answered. Please review
Week 3 Approved STPs Examples! This should be
brief & as specific as you can make it.
Situation -
define your problem (in “as is’/current state - if you know some data EXAMPLES of STPs about it include it.)
(What and Who) The shipping, receiving, and accounting teams face inaccurate inventory for flooring. According to data in NetSuite and ERP, there were 8K boxes of flooring that were extra and missing. (when/where) since last May, and nobody has identified why we had this many discrepancies in the inventory. Manufacturing runs 24/7, so there are 4 shifts: A, B, C, and D. However, the shipping and receiving department has only 1 shift, which is 8 a.m. to 5 p.m. Monday through Friday and this discrepancy was caused by the shipping and receiving department.. (How much/the pain) The cost was very high, and it affected our bonuses because each year we receive a bonus between January and February; however, this year we haven’t received the bonus yet because of this issue. The current loss was $79,553
.
Target (make this measurable so the team will know when they have achieved it. If a area 5S - increased safety, space reduction, quicker at finding things, audit list?) If a personal improvement - what can the team/family improve by % wise? If financial - what is the % improvement or saving? If work is related - how much improvement?) My goal is to make sure each item is verified by three different departments before entering the warehouse: QC, production, and
the warehouse department. Last year, I developed a verification system and set up a SOP for this process. However, newly hired people have never been trained before they start working, so I set up a training session for new hires at least 3 weeks before they take over the job and work independently.
Proposal -
this was written for you. Including your team will use PDCA/PSP etc. to discover how bad the issue is and what to do about it.)
I will use the PDCA/Team Problem Solving Process provided to work to improve this issue in the next 11 weeks through meeting with my team
Fill out your Data Collection Plan (with Simple Survey as your tool, unless you and I agree you need additional tools too. Like a tracking sheet for time study or space used/saved for 5S projects. Or, if your workplace already collects data for the issue you are studying.)

What do you think you are doing well as a leader and what do you want to do better?
I believe that as a team leader, I provide my teammates with the guidance they need to stay out of trouble and avoid uncomfortable circumstances. I normally go over our plan in detail both in written and verbally to make sure everyone knows what needs to be done and by whom. In my opinion, cooperation and teamwork are crucial since without a capable team member, we cannot achieve our objective. To be quite honest, I would like to spend more time each day during the workday with each team member to help them identify and clarify any issues they may be having with the task I assigned.
