Subject: New Policy Change Dear Valued Employees, We wanted to let you all know, before you hear it from someone else, of an important policy change coming this new fiscal year, that will enhance productivity for all. As of March 1, 2023, we will be implementing a primarily in office, work schedule, for all employees. As of March 1 st , our team will no longer be allowed to work from home the entire work week. We will, however, have the option to work from home one day per week, excluding Mondays or Fridays, provided no meetings or in-person presentations are scheduled Tues, Wed, or Thursday, that cannot be accomplished through video conferencing. We know this change may be difficult for some. Therefore, we wanted to let you know now, ahead of time, so that you can be thinking about which home day will work best for you and your family, should you choose that option. We realize that some of you may choose to leave our employment altogether based on this policy change. If this is the case for you, please immediately contact HR directly, to discuss your decision. This is a company-wide change. Unfortunately, absolutely no exceptions to this policy change, will be allowed. It certainly has been a difficult past few years, and we’ve all had to be flexible! Hopefully this will be the last change necessary due to covid, and the end of our pandemic challenges! To thank you all for your flexibility, we will be providing a continental breakfast and coffee each morning, for all employees! I mean, who doesn’t love a good breakfast? We’re so excited to see everyone’s faces in person again, in the coming months! Subject: Regarding the New Policy Change Email Dear Midlevel Managers, As you know, an email went out today to all employees about the new policy that will be implemented as of March 1, 2023. We encourage you as managers to assist us in getting everyone excited and on board with this policy change, to the best of your ability! Undoubtedly, this change will create some unhappy employees. To minimize the number of disgruntled employees we want to give you all some guidance in this regard. We are relying on you as managers to help implement the new policy. This includes being the first line of defense in answering any questions your employees may have. If you find there is a question you cannot answer, please first document the question, for our future discussion as midlevel managers, and then feel free to direct your employee to either correspond directly with HR, or if necessary, you may even encourage a visit to, HR, for further clarification of their question or concern. Thank you for being a rockstar team! Knowing that we can count on you to do your best to keep everyone happy in this challenging time, certainly helps us have success in all our departments. Subject: Termination due to noncompliance Dear Noncompliant Employee, This email is not an easy email to write. I’m certain it’s not an easy email to receive either. We certainly appreciate your time of service to this organization! We trust that it has been a positive experience for you, as well. As you know, an email was sent out on Feb 15, 2023, stating our revised work from home policy. Additionally, your manager Mr. Jones met with you at least twice to discuss how we might help you to decide which one day of the week you’d be choosing as your only allowed work from home day. Finally, HR issued to you a formal warning of non-compliance of the new policy, on April 15, 2023. After all those warnings, and notices, as of the 1 st of May you had still chosen to log in from home a minimum of 3 days each week since March 1 st . It was clearly stated per policy, there will be no exceptions to more than 1 day (Tues, Wed, or Thurs) of work from home time allowed. It is for this reason that I find it most unfortunate to inform you that your employment with this organization is terminated as of today. As I mentioned, we truly appreciate all that you have done for the company. The pandemic and all its changes, and aggravations, were very difficult on everyone! I wish you the best in your future endeavors, and I am truly sorry to see you go. Please let me know if I can do anything to help you in your next chapter. Reflection This assignment was not easy for me to begin with I have never had to implement a policy or fire someone. In my emails I want to show Jesus, so I wanted to be uplifting and encouraging in every interaction that I have with someone. I used the same encouraging, uplifting tone as I use in my own classroom when I have interactions with the parents or even with my coworkers. Emails can be hard to communicate what you want to say in the tone you want to say them. Anyone can interpret them the way they want. I like to use the sandwich method when I am writing emails that could be discouraging. Always start off with a positive encouraging sentence. Then the not so encouraging parts. Last end it with an encouraging sentence. People tend to take things better if don’t leave off the with a bad part. I want to show Jesus to whoever I speak to no matter if it’s good or bad. I wanted my emails to show that I cared and was truly grateful for their hard work. Also, sad to see the employees go that couldn’t make the new policy work for them.
