Working in a data center from time to time our company must perform audits to identify any areas that we need to improve. This brief paper will help everyone what the function and purpose
of a compliance audit is, how it will support the organizational accountability and integrity, what the results of the audit will have on the company either positive or negative, and an example that results of an audit could end up changing company policy.
The general function of a compliance audit is not to find someone at fault or see if someone is not doing their job, but it is to assess how well our company is following internal bylaws, and that the rules and regulations set by industry standards are being followed. The general purpose of a compliance audit is to review company policies, procedures, files, and processes to see that they are following existing regulations.
A compliance audit can support organizational accountability and integrity by showing that it is following the rules and regulations. Once the company passes the audit there can be trust built that the company is doing what it says it is doing. If the audit finds areas that need to be fixed the
company could lose trust in the products it sells or provides to other companies and those companies could decide not to use our products.
When an audit is performed it is expected that there will be findings that will be positive for the company and findings that will be negative. If an audit is performed that finds the company is doing everything correctly then the audit is not a particularly good audit. The audit should always find areas on which we can improve. It is what we do with the findings of the audit that counts. The areas that are positive we can give ourselves praise for doing a job well done and areas that are negative we will need to change our way of thinking and change policies to make those areas better. The results of the audit can show our customers how well we are doing and what steps are being taken to improve in areas that need work. The results will build consumer
confidence because our customers will see that we are actively improving our processes to provide the best product for them.
An example of a data-related procedure change that would need to be made because of a failed audit could be the finding that passwords are being shared between employees. With a finding like this the company may need to make a change in the policy that two factor authorization is needed every time that someone uses a password. By making a change in the policy it would reduce the likelihood of passwords being shared.
