Subject: Concerns and Recommendations: Investment Funds Missing
To: Board of Directors,
A review of first quarter financials has been conducted that uncovered an issue of missing
funding at Graphite Bikes.
During the meeting, it has been highlighted that there appears to be a discrepancy of
$150,000 dollars in the financial records of the company.
This issue is of grave concern and following are the key reasons behind:
Missing funds are 10% of the initial capital funding that has been invested while
starting the company.
Jim, the Comptroller has no idea about why the funds have been missing and could
take up to a month to research.
Venture Capitalists will be visiting in two weeks for the discussion regarding future
funding.
Missing funds are 10% of the initial capital funding
The issue of missing funds is of grave concern for the company as the unaccounted amount of
$150,000 dollars is a hefty amount, considering the fact that it is 10% of the company’s initial
investment capital. Moreover, missing of such a large amount during the first quarter
financial review is worrisome as the company has just started its endeavour and is not in a
position to face such significant accounting errors.
Jim, the Comptroller has no idea about why the funds have been missing.
Jim, the Comptroller of the company is an old friend and my business partner in Graphite
Bikes. Although, we worked on several profitable business ventures, the recent years have
been tough for Jim both personally as well as professionally. He lost his father who left no
life insurance and Jim became the sole person responsible for around the clock care of his
mother. In addition to that, one of his other business ventures is facing bankruptcy issues
while the Security Exchange Commission has been investigating another venture of Jim.
Considering the circumstances, now Jim doesn’t have any idea about where the funds have
gone and his statement that this might be a mathematical error for which further information
needs to be gathered demonstrates negligence on his part.
Venture Capitalists will be visiting in two weeks for the discussion regarding future
funding
The reputation and financial stability of the company holds critical importance in its long-
term sustainability. Moreover, the stakeholders of the company must be kept satisfied so as to
gain future funding. The visit of Venture Capitalists is due in two weeks and during their
visit, the agenda of the meeting will be the assessment of future funding options for the
company. With a major amount of $150,000 dollars already missing and there is no evidence
where the funds have gone; the financial accountability of the company is at stake. The
stakeholders will definitely raise this concern and find the accountability practices of the
company susceptible.
Keeping under consideration the above scenario, it is of utmost importance to investigate the
concern through adopting a systematic and careful approach. My recommendation to deal
with the situation is the formation of an independent auditing team that will gather all the
relevant financial records and documentation relevant to the missing funds. The participation
of Jim, the Comptroller must be ensured throughout the process as he is the key responsible
person to manage the funds. His insights regarding this matter will be of great help and aid in
locating the actual reason behind missing capital. All the financial transactions such as
receipts, bank statements, and invoices must be identified for any discrepancy. Moreover, the
financial software of the company can be checked for any vulnerability.
