Team Charter Project Objective Our project seeks to comprehensively document the designation of the emergency affected areas, shelters and storage facilities, improve processes for our early warning systems and signals, carryout training and drills for volunteers and public officials , develop a communication plan for responding and execute at least a minimum of one simulation practice drill for the emergency response plan. Core Team Principles Plan and assume responsibility for overall coordination of events and tasks. Provide guidance and alignment to all stakeholders and ensure effectiveness of response plans Manage logistics of supply and procurement Design internal communication plan and include public outreach plans Ensure adherence to safety regulation and compliance Manage project protocols and outcomes Monitor project cost, finances and budgets Measure and manage scope and schedule
Project Charter Project Description The aim of this project is to provide detailed instruction, documentation, and training to city officials and volunteers who coincide with the ERP. Additionally, both private and public businesses in Loganville shall have access to emergency plans Mission Statement This project's purpose is to develop and implement an emergency response plan (ERP) for developing improvements to the city’s existing emergency response plan, detailed documentation, training of local volunteers and city officials. Scope Management Plan The scope management plan for the city of Loganville is a living document our project team will regularly be updated throughout the project lifecycle ,defining the tasks required and taking responsibility of the work that should be done. This process will be controlled ,documented and managed throughout establishing project boundaries and constraints. Work break down Structure In this section the Work breakdown structure is created as an essential document to breakdown the project into smaller work packages. Initiating – All stakeholders Planning - will entail the context of roles and responsibilities for planning all events and assistive measures and efforts, including accessibility of documentation to all relevant stakeholders. Executing- the scope and implementing quality measures to meet all related requirement needed. Control and Monitoring -Our project team members will assess any impact of change on our schedule and how it will affect our resources, budget and support.
Deployment Plan This plan will entail the distribution of resources and shelters. Update and improve early warning systems Train and exercise drills Depending on the designated responsibilities and frequency of progress reports , communication channels are established as medium to address queries and channel rapport. Change Management Plan The plan outlines how changes can impact the scope ,schedule ,budget and quality. Identifies stakeholders responsible for initiating change requests The criteria for scope verification will assesses all formalized acceptance from deliverables and all third parties involved. Quality management plan The city of Loganville will integrate its quality management plan with the overall scope management, and it will be regularly reviewed and updated to ensure its effectiveness in achieving objectives. It will monitor and assure quality and additionally develop risk response strategies and regularly review and update quality metrics. This plan will focus on capturing lessons and implementing corrective and preventive measures to address quality related issues.
Unexpected events and Additional tasks (UE & AW) This also refers to as a Contingency Plan, outlines procedures for addressing unforeseen events or situations that may arise during implementing our response project. It includes strategies for managing unexpected events and handling additional work that may not have been initially planned for. For our emergency project the communication plan, we will be made broader to ensure that we are communicating with the new members of the community. For the risk management plan, we will look at what additional risks we are taking on due to the population increase.
