INTRODUCTORY INFORMATION
This is a GROUP activity. Your objective in this Project Team Charter is to work with your other selected team members to
determine your team’s agreed rules for developing Assignment 2.
You must submit your assignment through the LMS. It is due to be submitted by 23:59 (Perth Time) on
Sunday Apr 19 2022 (Sunday of Week 6).
This assignment addresses issues pertaining to Graduate Attributes 1, 2, 4, 5 and 9.
THE REQUIREMENT
You are required to form a group of five (5) or six (6) fellow ICT508 students (6 is the preferred group
size)
, so your team can complete the work required for Assignment 2. As a hint, it may be best to select
people attending the same ICT508 Workshop. However, this is not essential. To initiate the coordination of your Assignment 2 project, the selected members of each team are to work
together to develop this Project Team Charter (PTC) and the associated ‘Assignment 2 – Project Plan’. In
practical terms, this PTC must be focussed on how you will actually manage your team’s assignment
activities. Please note that this template is somewhat different from commonly used Charter formats, as it is
designed to help your team set out guidelines and approaches for optimising your Assignment 2 outcomes.
Such template variations are normal because PTCs are defined in line with the needs of each organisation
and project. It is best to develop the ‘Assignment 2 – Project Plan’ in parallel with this activity. For more
information on developing the Project Plan please read the ‘Assignment 2 – Developing the Project Plan’
document.
WHAT YOU NEED TO DO
As early as possible within this semester you need to identify the members of your team and organise a
meeting that must be attended by all of the nominees for that group
. During this meeting, you must work
together to identify how you will manage your assignment development activities. To document your
approach, you must fill in the information outlined within the attachment to this document and the
Assignment 2 Project Plan. It is expected that you should be able to complete these tasks in around an hour
to an hour and a half. Please ensure that your entire team puts some thought into this. Sorting out these types of issues early will
help you to complete Assignment 2 more effectively. Therefore, make sure that you think carefully about
each of the issues and determine definitive solutions that will assist your team to complete the Assignment 2
work successfully. Guidance on what should be covered in the solutions is provided in the Project Team
Charter tables that you will fill out (as provided in Attachment 1)
.
Once your team has completed filling out the information in this form, each of you must individually upload
the Project Team Charter and the associated ‘Assignment 2 – Project Plan’ into the LMS
. As specified
within the enclosed Charter, by uploading these documents into the LMS you are signifying your formal
commitment to adhere to the agreed objectives, approaches and methods listed in your PTC.
After the individual documents are uploaded, your group listing will be established in the LMS, so your
team’s Project Manager can submit a single copy of the Assignment 2 files for the whole team. Murdoch University

As specified in the Unit Information Guide, the score allocated for the team will be reduced for late
submission. Please note that even one late submission from within the team will impact on the score
allocated to all team members. This reflects real-world project issues, where the failure of one member of
the team can impact on everyone.
The marks will be allocated with a precision of one decimal place, to reflect identified differences between
each of the standard marking criteria listed in Table 1
. The resulting score will then be adjusted, to reflect an
overall percentage, with a maximum score of 5%. This score will be added to the total mark for all of the
members of each team.

The lecturer will be available to answer questions. You can ask such questions during the lectures or
workshops you will be attending, or you can send an email to your lecturer. The lecturer will get back to you
with an answer as soon as it is practicable. Please note, that it is recommended you get your questions in

OUR TEAM GROUND RULES

We will meet to progress the project as follows…
Entire team meetings are scheduled every Tuesday at 12:30pm;
The meetings will be online via MS Teams which is also our preferred
meeting format due to the geographic dispersion of our team
members;
Additional whole or sub-team meetings will be scheduled as required
on an as-hoc as basis at a time that is convenient for the team
members involved.
We will inform each other through the following methods when we cannot attend a meeting, or we are running late…
We have created a MS Teams group chat. Any meeting updates will be
posted there;
The group meetings are scheduled on MS Teams and confirmed with
calendar invites to each group member. Each member is required to
confirm acceptance or otherwise of the meeting invite;
We also have a WhatsApp group to facilitate instant communication as
required. All members are required to keep the notifications on for this
app. If someone is running late or a last minute emergency prevents
them from attending the scheduled meeting, then they will use the
group chat to inform the rest of the team;
If a team member is not present at the commencement of a meeting
and they have not informed the group that they cannot attend, then
the Project Manager shall call them on their mobile to check on them.

We will make decisions about the project as follows…
To take decisions that implicate voting or determining values, such as
the effort to complete a specific task, the team will implement the
Scrum Poker technique. MS Teams contains a virtual app for Scrum
Poker to facilitate consensus during online meetings.
Decisions related to affections on cost, time, scope or any change in
the initial estimation have to be managed by the Project Manager, who
is accountable to the client.

Each of us will report on progress toward completion of our parts of the assignment through the following techniques…
A weekly status report will be used to keep our team informed and
follow every progress. In this report we will be able to quickly review
what is completed, what it needs to be done next, the risks and issues.
A team availability report will be also useful so that we can follow what
every member needs to complete, this report will help us to make
decisions for the next steps of the project.
We will use as a tool The Gantt chart in MS project that will help us to
outline the tasks, when will start and end, as well as a timeline that we
can visualize our work and work around the deadlines. Insert your answer here. Think about methods that you will use for reporting,
what will be sent in the reports, reporting cycles, milestones (and associated
deliverables). You will gain higher marks if you include information on how the
reports will be distributed and managed.

We will deal with problems in meeting identified milestones as follows…
Insert your answer here. Think realistically about contingencies that you can
implement to proactively help team members who may be falling behind. You
will gain higher marks if you set up some form of delegation approach, in which
team members with specific skills would form backups for others, so each
person knows where they can proactively seek guidance or help if it looks like
they will be unable to meet a deadline for any reason.
The Project Manager will have ongoing responsibility for reviewing
the Project Plan and identifying any areas of schedule variance.
Similarly, team members will be responsible for alerting the Project
Manager at the first indication of any potential delays in the delivery
of their tasks.
Once any potential delays are identified, these will be discussed at our
regular team meetings to identify causes and possible solutions to
overcome these delays. Delays that must be dealt with more
immediately will be tabled for discussion at special purpose meetings
convened by the Project Manager as needed.
If tasks that are causing delay are located within buffer zones where
delays will not impact on overall delivery, then potential solutions
may include higher effort levels being applied by the responsible team
members, assistance from other team members with technical
aspects that may be causing difficulties leading to delays or limited
scope contributions by other team members to the completion of
those tasks that are causing the delays.
If tasks are located on the critical path and delays threaten
completion of the entire Assignment then the Project Manager, in
consultation with the entire team, will need to decide on more
aggressive measures to mitigate this risk and ensure the submission
deadline is met. Subject to team agreement, techniques that may be
deployed at this stage will include shortening, fast tracking and
crashing.

Reviews of the Assignment sections will be managed as follows…
Insert your answer here. Think about applying a methodical review system.
This could include reviewing outlines of different sections as dot points early in
the development period. In this situation the drafter/s of each section would
not continue to draft the material until this initial review has been completed,
so they are not wasting time drafting unfocussed or invalid content. Once a
person or sub-group has completed drafting/developing a section of the
assignment, this will then be reviewed by other members of the team. The
Project Manager and a selected subset of the members would then do a final
review of the entire Assignment material, prior to uploading the content.
We will use peer review to evaluate each member’s work. In each
section, the member responsible is required to draft with all point
synopsis in dot points as the basic outline.
All team members are required to perform initial review of the work
to validate the points. Members will discuss on the points via Teams
meeting. They can contribute additional points and the responsible
member will take note on the feedback and continue to draft content
for the discussed section.
After the draft is completed, a second review by all team members to
evaluate the section and discuss again via Teams meeting. The
responsible member will again take note on feedback and complete
the section.
Project manager appoints 2-3 members to do a final review of the
report content to proofread for grammar mistake, plagiarism and
ensure clear document structure before submission. If group members’ work or participation does not meet the required group standard…
Insert your answer here. Your team needs to work out methods for providing
guidance and enforceable protocols, which will help to ensure that all members
of your team do the work that is allocated to them. Additionally, in line with all
performance management systems, you would need to identify some method
for supporting, mentoring, and/or disciplining members who do not meet the
professional standards that your team has mandated.
All the group members must participate the meetings. If any members
are absent without notice, he/she should request meeting minutes
from the Project Manager and inform PM how he/she is planning to
catch up the work.
Project Manager will evaluate the group members based on
contributions and attitudes, focus and commitment, team role
fulfillment, communication, and accuracy.
If the participation's work does not meet the group standards, he/she
might be asked to redo the work with assistance from other members
and set deadlines in advance of due date to allow time for peer
review.
Once you have completed your PTC, remove the first two instruction pages, so all you are uploading is the same Attachment 1
for each member of your group.
