Barbara McKenney CS-255 -System Analysis and Design November 12, 2023 Module 3-2 Assignment: Evaluate a Process Model 1. Describe Hamp Crafts’ current purchase and supply process by responding to the following prompts: o Interpret the provided data flow diagram. What does it show? What does the current purchase and supply process entail? The figure depicts the flow of a supply and demand system with functions and data flow. Receiving an order, checking it, selecting a supplier, and shipping it according to the current delivery schedule are all part of purchasing and supply. If a client order does not require supplier services, it is forwarded to the carrier for shipment. If the customer order requires a supplier and contractual agreements, one is picked and shipped. o What data sources are involved in the current process? The current data sources involved in the process are receiving orders, choosing a supplier to fulfill the order, and shipping the order. 2. For the new online storefront, Hamp Crafts’ owners want to ensure that customers can easily view products, pay for them, and receive confirmation of their orders. The owners want to be sure that any payments will be transferred to Hamp Crafts’ business account. You have also suggested adding an administrative backend to provide customer support, update customer information, and maintain the website. To add this functionality, you will need to consider Hamp Crafts’ current purchase and supply process. Then you will need to determine the additional requirements needed to support an online storefront by responding to the following prompts:
Barbara McKenney CS-255 -System Analysis and Design November 12, 2023 o What additional processes are necessary to integrate an online storefront? In addition to developing an administrative backend, online ordering, and payment process, a payment transfer to the business account, and an order confirmation and notification process for the Hamps Crafts online storefront, we will need the following processes: advertising, discount options, sales, as well as returns and refund handling options through the online storefront. o What additional data sources would the system need to access the products and inventory? A Point of Sale (POS) database, supplier data, and inventory management data are additional data sources required to support Hamp Craft's online storefront. A POS system will keep online, and in-store inventory levels coordinated. To provide accurate, up-to-date product information, efficiently manage inventories, and optimize the supply chain, supplier data needs to be available. It enables the company to offer a diverse choice of items, make educated procurement decisions, and improve the overall shopping experience for customers. This access to supplier data enables the online storefront to remain competitive, minimize operational expenses, and provide more personalized customer service. An inventory management database is needed to track all products and inventory information for product availability and replenishment. This will ensure accurate product listings and prevent overselling. This includes both the present items on the shelves and additional items that the store wants to sell. When an order is processed and a product is running low in stock, the inventory database will send informative alerts to representatives.
Barbara McKenney CS-255 -System Analysis and Design November 12, 2023 o What additional databases, if any, are needed to support the online storefront? A security database for all customers' information including phone numbers, addresses, email addresses, and payment information is crucial to ensuring customers' data is safe. Implementing security measures will protect customer data and maintain online transaction integrity. This includes Secure Socket Layer (SSL) certificates, regular security audits, and compliance with data protection regulations. Furthermore, they should have a database for storing employee information and information on suppliers and shipping companies. Additionally, the online storefront should have the following databases: A product database is necessary to deliver and maintain automatic updates on product availability and pricing. This database would contain product names, descriptions prices, photos, and product features (e.g., size, color, weight). As well as a return and refund database that manages returns and refund requests. This includes authorization, product inspection, and record-keeping for financial transactions. 3. Finally, determine how to integrate the new online storefront into Hamp Crafts’ current purchase and supply process by responding to the following prompt: o Would you recommend creating a separate new system for the online storefront or incorporating elements of the online storefront into the current process model? Explain your reasoning. As part of the current process model, I recommend incorporating elements of an online storefront. The newly developed elements of the online storefront are in line with our current process model, which is why I chose this approach. Data sources and processes are used to accomplish this. The outcome will be a more

Barbara McKenney CS-255 -System Analysis and Design November 12, 2023 complex system, but overall, I believe it will have a better flow and make more sense. In addition to the new elements, most of the elements are used in both. If they were divided separately, there would be a lot of overlap. A better understanding of how everything works together will be gained by incorporating the existing elements of the online storefront into the current process model. With improved integration and a better understanding of how the new elements fit into the overall process, it will be easier to adjust and make improvements to the existing system.
