Dear Executive Team, As Phoenix Advertising's Vice President of Human Resources, I am writing to present a proposal to revitalize the Roanoke Branch and restore its full productivity. Over the last month, four clients have complained about the quality of the advertising work produced by the Roanoke Branch, leading to a drop in profits. Additionally, three graphic designers and four copywriters have threatened to quit due to their creative contributions to projects being rejected or revised without their input. In an attempt to increase revenues, the branch is accepting new clients without evaluating the effects of the new accounts on the current project workload. As a result, without notice or compensation for the additional hours, all salaried employees are required to work long hours several days each week. Employee morale and productivity are declining day by
day.
I have conducted an investigation and have concluded that the primary issue at the Roanoke Branch is the lack of collaboration and communication between the creative teams and the account managers. As a result of this lack of collaboration, art directors and account managers have left the agency, and four clients have not renewed their contracts. My proposed solution will focus on creating a more collaborative environment between the creative teams and the account managers.
Background: The investigation I conducted revealed that the root cause of the problems at the Roanoke
Branch was the lack of collaboration and communication between the creative teams and the account managers. This has led to tension between the two groups, resulting in the departure of art directors and account managers, and the failure of four clients to renew their contracts.
Proposal: The proposed solution to the lack of collaboration and communication between the creative teams and the account managers at the Roanoke Branch is to create a collaborative environment. This will involve the following steps: • Establishing a clear and consistent communication protocol between the creative teams and the account managers.
• Establishing a team collaboration system that allows for creative input and feedback from the creative teams and the account managers. • Establishing a system for tracking and documenting the progress of projects and client feedback. • Providing training and support to the creative teams and the account managers to facilitate the successful implementation of the proposed system.
Schedule:
Establishing a Clear and Consistent Communication Protocol 2-3 Weeks: (December 1-
December 22)
Establishing a Team Collaboration System 2-3 Weeks: (December 23- January 13)
Establishing a System for Tracking and Documenting Progress 1-2 Weeks :(January 24- February 14)
Providing Training and Support 2-3 Weeks: (March 1-March 22)
Follow-up: March 30
Staffing: To ensure the successful implementation of the proposed solution, the following personnel will be required: • Project Manager: Responsible for overseeing the implementation of the proposed solution, as well as tracking and documenting progress. Must have strong communication and organizational skills. The lead project manager, Joseph Smiths, has a total of nine years of experience at the Roanoke branch. His knowledge of production requirements and the employees will provide valuable insight for the company. • Training Manager: Responsible for developing and delivering training and support to the creative teams and the account managers. Must have experience in training and development.
Brittney Young has four years of experience in training and development. She will be responsible
for training the new team managers. • Creative Team Manager: Responsible for providing support to the creative teams and ensuring that their input and feedback are incorporated into the project. Must have experience in managing creative teams. Tommy Ranger has two years of experience in managing creative teams. He will be responsible for making sure everyone's work is incorporated into the project, and if not, he will speak up and make sure something is done. • Account Manager: Responsible for managing the accounts and ensuring that client feedback is incorporated into the project. Must have experience in account management. Jack Brown has twenty years of experience in account management. He is responsible for ensuring
that the client feedback is incorporated into the project. He is also responsible is making sure the team members' hours are reasonable and no one is working overtime.
Budget:
The total cost for the proposed solution is estimated at $25,000. This cost includes the following:
Project Manager
$10,000
Training Manager
$7,500
Creative Team Manager
$4,500
Account Manager
$3,000
Request for Authorization:
High-quality products are what customers expect from Phoenix Advertising. Although the
Roanoke Branch has recently fallen far short of standards as a result of an unexpected decrease in the quality of the advertising work produced, the branch can recover once the management team authorizes the proposed changes and budget. In fact, these recommendations do not represent a new direction for the company. Instead, they will merely restore to Roanoke Branch, the effectiveness of unique team production standards, an approach Roanoke Branch itself has previously shown effective in increasing work output and decreasing failed quality checks. The management team’s approval of this plan will, therefore, reinforce to both customers and employees Roanoke Branch's commitment to excellence. I am confident that the proposed solution will achieve the desired results of revitalizing the Roanoke Branch and restoring its full productivity. The proposed solution will create a more collaborative environment between the creative teams and the account managers, resulting in improved morale and productivity. Additionally, it will help the Roanoke Branch retain its current clients and attract new ones. I respectfully request your approval of the proposed solution.
I appreciate having the opportunity to investigate the problems at the Roanoke Branch, I am confident that after the team reviews my proposal, I can expect authorization at our next management meeting on March 30th. Sincerely,
(YOUR name)
Vice President of Human Resource Management
