Hi, Jane, Sorry to keep you, my last meeting overran, how are you doing today?

Hi Harriet, no I haven’t been waiting long. I’m doing ok thank you.
Great! How long have you been working for the company?

About 5 years.
Can you explain what you do when you prepare the bank deposits?
o
Sure, I check the receipts to the recent deposits, review any checks received that day, count/ check any cash. Transfer them all to the bank books and make the deposits either between 10am-11am or 2pm-3pm depending how busy we are.
Does anyone assist you with the bank reconciliation?
o
I tend to be the only person who deals with them on a daily basis, but Kitty
Jones has helped me sometimes.
Who has access to the lock box?
o
Kitty Jones, the office manager and I are the only ones with access.
There was a large sum of cash taken from a client on the morning of 4
th
December, is that correct?
o
Umm yes that’s correct.
Did you prepare the bank deposits on 4
th
December?
o
No, I didn’t, I was unavailable that day and was unable to make the deposit
times.
Did Kitty not prepare the deposits for that day?
o
No, she didn’t.
When did know that there were no bank deposits made on 4
th
December in your absence?

When I arrived at work on Monday 7

and reviewed the bank deposits and began to prepare them for the day ahead.
On the Monday when you came back into work did you notice anything strange when reviewing the deposits and lock box?

Yes I did?
Would you care to elaborate?

Yes, while preparing the reconciliation for the deposits I noticed that the $2500 was missing from the lock box, I knew and saw that no banking was
done on the 4
th
so the cash should have been in the locked box. But both the cash and the receipt for the payment was missing
Did anyone witness you opening the locked box?
o
Yes both Kitty Jones and Judy Brown were with me when I opened it up. But once Kitty Jones realised the funds were missing she dismissed myself

Last time we spoke you worked at the front desk, taking payments, making appointments and enjoyed you it, I hope that’s still the case?

Yes it is, every day is different, and I get to talk to different people all the time, I wear a couple different hats which is nice.

Can you explain to me what happens when you take a cash payment from a customer?
o
So, for the cash payments, the customer counts it out in front of me, I then in turn count it back out to clarify what the customer is giving me. I” then give them a written double copied receipt, 1 copy is handed to the customer confirming their payment and the other copy of the receipt is placed with the cash and put into the lock box imediatley.
To the best of your knowledge, how has access to the lock deposit?

To the best of my knowledge only 2 people have access to it, those are Jane and Kitty.
Do you know how often bank deposits are done?
o
I think they are done daily but I don’t get involved other than putting the cash into the lock box.
The locked box is only kept in Kitty’s office is that correct?
o

Yes, well 3 years in 2 weeks.
Congratulations! As the office manager, you keep the lock box in your office before the deposits are prepared correct.

Ummm yes, that’s correct.
Who has access to the lock box?
o
Jane the accountant and I both have access to it.
Where are the keys held to this box?
o
I have 1 on my set of keys for the office and the other 1 is in the wall key safe in my office, but I remember seeing it in former practice managers unlocked tops desk draw on 4th December.
And can you tell me your input when it comes to the bank deposits please?
o
Yea, Judy processes the payments at the front desk, any cash she put into the lock box; Jane normally prepares the deposits or if she’s busy I will do it for the day and I normally take them to the bank.
Knowing that Jane was busy on 4

December did you prepare or take the daily deposits for the bank?
o
No, I didn’t, I didn’t realise she couldn’t do it until later on, so I just left it for Monday 7
th
.
